Booking Conditions
- Booking Your Accommodation
- To secure your booking, you should complete
the Hotel Booking Form and include a deposit payment of 10%. Your credit card
details are recorded in a secure area. Your deposit will only be deducted from
your card after we forward you by e mail a final hotel confirmation number.
- If you are booking within 8 weeks of departure then full payment is required. Full payment will only be deducted from your card after we forward you by e mail a final hotel confirmation number.
- Whilst we endeavour to keep our web pages up to date
there are sometimes circumstances that are beyond our control which may effect
the accuracy of the availability and/or costs of accommodation. In
circumstances where you have completed a booking form and in the unlikely
event that any information and/or quote given is incorrect we will advise you
of this as soon as practicable but, in any event, prior to the forwarding of
the booking confirmation invoice & hotel voucher.
- A contract will exist as soon as we issue a
Confirmation Invoice & Hotel Voucher. This contract is made under the terms of
these booking conditions which are governed by English Law and both parties
agree to submit to the jurisdiction of English courts at all times. If for any
reason Caribbean Hotels does not accept your booking, your payment will be
returned.
- Special Requests should be made on the booking form or by e mail; by clicking on the 'contact us' button at the top of the screen. Caribbean Hotels will try to arrange for Special Requests to be met, but cannot guarantee that they will be, nor will Caribbean Hotels be liable if any Special Request is not met.
- If you arrange your accommodation direct with Caribbean Hotels all correspondence and communication will be sent to the email and postal address of the first person named on the booking form unless you specify otherwise. If you request correspondence through a business address, a residential address will also be required for emergency and security reasons.
- If your booking is made through a travel agent, Caribbean Hotels will address all communication to that travel agent. All monies paid by you to the travel agent under or in contemplation of this contract will be held by the travel agent for Caribbean Hotels until such monies are forwarded to Caribbean Hotels.
- The balance is due 8 weeks prior to arrival. Kindly
note from time to time normally around International Festivals and Sporting
Events, we will require final payment more than 8 weeks before arrival. You
will be advised this at the time of booking
- Caribbean Hotels has the right to decline bookings made within 3 working days of arrival and if the total duration of the stay is less than
5 days, unless prior approval has been received.
- The lead name billing address must match the credit card details given to confirm the reservation. No third party transactions will be allowed. You will be required to provide ID on arrival at the hotel.
- Amendment & Cancellations
- Caribbean Hotels will make every effort to assist you if you wish to alter your arrangements. Requests for an amendment must be sent by e-mail by the credit card holder of the booking. Amendments can be made at nominal cost of UK£40 or US$60 up until 14 days prior to departure.
- Any changes in arrival or departure date will be recalculated based upon the rates on the site on the date the amendment is requested, any material changes in the total price of the accommodation will be borne by the client.
- Changes in the total price of the accommodation will be
borne by the client.
- Hotels at their discretion over-book and reserve the right to offer alternative accommodation. While this does not happen often, Caribbean Hotels has no control over this practice, however we will make every effort to assist you in making alternative arrangements if necessary. Where the hotel advises us in advance, we will communicate this to you immediately and assist you to find alternative accommodation where possible. Caribbean Hotels will not be responsible for any additional charges if a move to an alternative hotel becomes necessary.
- Caribbean Hotels will use its best efforts to provide
accommodation and services requested at the prices quoted, but reserves the
right to substitute alternative accommodation. The accommodation will be of a
similar or higher standard than that originally booked. If you have a problem
while on your holiday or vacation you must report it to the hotel immediately
who will rectify the situation. Unless there is a valid reason for failing to
report your complaint we will not consider ourselves liable for those
complaints.
- For amendments made outside 14 days there will be an amendment charge of US$60 or UK£40 per booking. These charges will be payable whether or not Caribbean Hotels is successful in confirming your requested amendment.
- All cancellations must be advised by email as soon as
possible and the following cancellation charges will apply. We strongly advise that
clients should take out travel insurance for additional protection. Caribbean
Hotels will make best efforts to minimise Cancellation Fees where possible,
however the final decision rests with individual hotels.
- After arrival (No Show) up to 100% of accommodation cost.
- Some hotels have a 100% Cancellation Policy for Arrivals during December.
Please ask for details.
- During Special Events e.g. International Festivals or Sporting Events some
hotels have a 100% Cancellation Policy
- Within 7 days prior to arrival 40% of accommodation cost with a minimum of
three nights cost upto 100% of cost during some seasons. Please ask for
details
- More than 8 days prior to arrival, 20% of accommodation cost subject to
refund guarantee.
- If you fail to pay the balance 8 weeks before
your arrival date, Caribbean Hotels will treat your reservation as cancelled
and levy a cancellation charge as set out above
- Force Majeure means unusual and unforeseeable circumstances beyond the control of Caribbean Hotels, the consequence of which neither Caribbean Hotels nor its suppliers could avoid, including but not limited to, war, threat of war, riot, civil strife, terrorist activity (actual or threatened) industrial dispute, technical problems with transport, machinery or equipment, power failure, natural or nuclear disaster, fire flood, drought, adverse weather conditions and levels of waters in rivers.
